The Town of Unity is seeking to fill a full-time or Part-Time Deputy Clerk position. Preferred applicants shall be proficient in a wide variety of duties including, but not limited to elections, voter registration, processing absentee ballots, motor vehicle registrations, inland fisheries transactions, collection of taxes, preparation and mailing of notices, payments/fees, records/file management, general clerical skills, auto registrations, vital records, and possess excellent customer service skills.
The ideal candidate will be energetic, eager to learn, resourceful and able to effectively multi-task in a fast-paced environment, possess the ability to understand and apply state and local laws and work under limited supervision. Knowledge or experience working in local government and a municipal clerk’s office is ideal. The successful candidate must have a genuine interest in serving the residents of Unity.
Qualified applicants must have excellent computer, interpersonal, and verbal communication skills. The Deputy Clerk is responsible for assisting the Town Clerk with data entry and integrity of the payroll, budgetary, and real estate portions of the accounting system. Accurate data entry, updating, reporting and filing of timesheets, purchase orders, invoices, payments, responsible for daily reconciliation of daily work/cash drawer, etc. Applicants must have the ability to quickly learn specialized software programs and office procedures, have strong organizational skills and the ability to work independently and in a team environment alongside the select board officials.
Other responsibilities & essential job functions include assisting the Town Clerk with the following:
- Prepare weekly warrants for the Select Board’s approval & signatures.
- Maintain and update employee and vendor lists.
- Prepare Payroll reports for auditors, Select board, insurance, etc.
- Review, prepare, and print W2s
- Calculate and issue financial analysis of financial statements.
- Maintain an orderly filing system.
- Review, prepare, and print vendor 1099s
- Maintain chart of accounts
- Maintain annual budget.
- Calculate variances from budget and report significant issues to Select Board/Town Clerk
Preferred Experience
- Strong knowledge of government accounting practices
- Preference given to candidates with knowledge of TRIO general setup, Budgetary, Payroll, and Real Estate software.
- Effective people skills, including negotiation and influence without authority.
- Experience gathering and compiling data, and preparation of reports.
